What is a Custom/Group Tour:

Custom and Group tours are tours that are planned and created for groups of 20 people or more. All aspects of the travel such as destinations, duration, transportation type, and hotel accommodations are organized exclusively for your group by our Custom and Group Tours Coordinators. This service is ideal for squadrons, schools, clubs and private groups of 20 or more planning a group event. Through this service you can arrange something as simple as a bus charter, all the way to a complex week-long tour by plane to the Orient for your group. Our experts will work closely with you to ensure your group's budget and travel needs are met.

Who Can Book a Custom/Group Tour:

In order to best serve groups booking tours through RTT, we request one (or, at the most, two) Group Leader(s) to act as POC for the group. This person will coordinate all details of the planning/preparation for travel and payments with the RTT Group Travel staff.

The Group Leader is responsible for all communication with group members. All information from RTT will go through the Group Leader and all inquiries/payments from the group will go through the Group Leader to the RTT Group Travel staff.

Express Tours:

Express tours are generally for a 24-hour block of time. Typically they begin late at night or early in the morning. You arrive at the advertised destination in the morning and spend a full day there. Early evening you begin the return trip and arrive at various points of origin late at night or early the next morning. These tours are inexpensive, as they don’t include hotel accommodations, fast paced and ideal as introductions to particular regions or cities.

1 Overnight Tours:

The first day of these tours is typically dedicated to traveling to the destination. Normally the tour will commence late at night on day one or early in the morning of day two. You will arrive at the advertised destination on the morning of day 2 and follow the tour's itinerary. Check in to the hotel is normally done in the afternoon of day 2.  Day 3 is started with breakfast and checking out of the hotel, with the rest of the day following the tour itinerary. The return trip usually begins in the early evening, reaching points of origin late at night. These kinds of tours are not as fast paced as the Express tours, include 1-night hotel accommodations and provide more detail and time at various points of interest during the tour. They are ideal for people who want a good overview of a country or region.

Longer Bus/Flight Tours:

If your group is wanting a longer trip this can also be arranged. For destinations that are not feasible to reach by motor coach, plane transportation can be provided.

Documentation:

It is always recommended that you travel with a valid US tourist passport. For military members travelling with an ID card and the (obsolete) “Form 80” (border crossing form to be obtained from your Orderly Room) entry is not guaranteed into all countries. If you have additional questions about Visa requirements & entry to certain countries that are not covered in the tour information on our web site please contact your orderly room and/ or Passport office for clarification.

Pick Up Points and Times:

Your pick up point, or meeting point should be somewhere that can easily be reached by all members of your group at a time determined by the entire group.  Your Tour Coordinator can arrange for shuttle services to and from the airport if you will be flying to your destination.

Cancellation Policy:

Cancellation fees will be determined by the Group Tour Coordinator based on the package provided. You will be made aware of these conditions prior to finalizing your reservation.

Payment of Fees:

The Group Leader is responsible for all of the trip payments. Monies should be collected from participants and paid to RTT Group Travel staff by one credit card or check, or by cash. Receipts from RTT will be written to the Group Leader (not to individual participants).

Depending on the trip planned, a down payment, final payment date and structured cancellation fees will be established.
